Northrop Grumman is seeking an experienced Executive Assistant to support the Launch and Missile Defense Solutions Division staff, located in Chandler, Arizona.
As a valued member of the Division leadership team, the Executive Assistant is the center of day-to-day office operations and will be welcomed into a team environment where input is invited, growth is encouraged, and mutual support is the standard. The Executive Assistant will report to the Vice President of Business Management and support other executive level leaders across the Division. This position requires strong interpersonal skills to maintain contact and work effectively with all levels of executive management, employees and internal/ external stakeholders. It also requires that the correct client focus be projected at all times.
This individual must be articulate, with excellent written and verbal communication skills, and have a heightened sense of confidentiality while performing a wide variety of sensitive administrative and support tasks for the Division leadership team. The successful candidate must be a self-starter, able to independently execute tasks, will be expected to multi-task and balance daily activities with managing projects to completion. Coordinates various events and activities of major organization initiatives including setting up meetings, submitting catering requests, and preparing meeting material.
The use of good judgment, discretion, and uncompromising standards of high quality, integrity, and performance are essential while handling confidential situations. This position may require occasional nonstandard work hours in support of business schedules. Limited travel may be required.
This position performs normal office functions such as setting up and maintaining files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail. Reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures. Gathers, compiles and reports on information relevant to director’s assignment. Maintains office supply system. Plans travel and prepares and submits expense reports.
Basic Qualifications:
- High School diploma and a minimum of 8 years additional education and/or experience in the administrative professional field
- Computer skills required include advanced expertise in Microsoft Office software (Word, PowerPoint, Outlook, Teams, and Excel) and intranet/internet proficiency
- Experience managing executive calendars
- Experience with scheduling travel and processing expenses using Concur or similar platform Learning and adhering to policies and guidelines
Preferred Qualifications:
- Ability to swiftly adapt to new tools/technologies to drive efficiency and organization across the global team
- Experience participating and hosting in-person and remote Video Teleconference meetings (i.e. Zoom, MS Teams, etc.)
- Experience with Workday
