Junior Achievement of the Michigan Great Lakes and its District Operations are establishing a one-of-a-kind Free Enterprise Center which will serve a large portion of JAMGL’s 50-County footprint. POSITION CONCEPT
Provide administrative support to the Senior Vice President of Development such that it facilitates goal attainment. The SVP of Development is responsible for the overall fundraising implemented by JA of the Michigan Great Lakes and includes a variety of strategies and methods to raise those funds which include but are not limited to Special Events, Development Team Management, Direct Mail, Planned Giving, Major Donor development, online giving, etc. The Administrative Assistant will support the SVP of Development in all of these initiatives.
PRIMARY RESPONSIBILITIES
- COMMUNICATION: Composes and drafts confidential letters and reports utilizing word processing (PC). Handles phone and e-mail communications in a highly professional manner. Prepares supporting information for meetings and presentations.
- OFFICE ADMINISTRATION: Opens mail and completes daily Check Reconciliation. Creates both word processing (PC) and hard copy filing system that is easy to use, current and accurate. Establishes follow-up procedure (tickler or reminder file). Facilities routing procedure from receipt to files that enhance office efficiency.
- CALENDAR: Maintains SVP of Development and Development Team calendars, including appointments, deadlines, meetings, etc. Communicates calendar to appropriate staff, including time away from the office for vacation, illness, as well as business travel. Establishes a procedure for executives to readily update and change schedules so as not to miss important meetings, reports, and events.
- MEETINGS: Prepares materials for Development Team meetings, donor meetings, committee meetings, and Special Project meetings. Handles attendance calls and prepares information packets (agenda). Attends meetings, takes notes/assists with minutes. Distributes follow-up data to attendees and absentees.
- DATABASE MANAGEMENT, ANALYSIS & DEVELOPMENT: JA uses Blackbaud Constituent Relationship Management (BCRM) which is an enterprise-wide, web-delivered CRM database that contains all donor and program information. The EA will be effective and efficient in tracking donor meetings, working with JA USA business analysts to implement JA’s mail campaign annually, and will conceive of and implement new ways to insure that BCRM is supporting JA development efforts. Becoming a super user of BCRM to provide problem-solving, develops system recommendations, and leverages technology to advance productivity. Collaborate directly with the SVP of Development and President to translate business requirements into useful analytic reports, dashboards, and KPIs. Drive high quality, low error results while preparing analytical reports related to constituent relationships, event management, pledge management, acknowledgment of charitable contributions, and stewardship.
- STEWARDSHIP: Works with the SVP of Development to create an inspiring, innovative vision and an actionable strategy to celebrate the generosity and impact of fundraising. Manages and implements a robust, ongoing donor stewardship program, including gift recognition, giving society membership, and receptions. Maintain an active awareness of philanthropy and donor relations goals and objectives and how they relate to corporate and community engagement activities.
- SPECIAL PROJECTS AND EVENTS: Handles special assignments. Represents the office in a highly professional manner. Coordinates with other administrative and professional staff on special events involving executives (appearances, speeches, etc.). Communicates directly with Board members, executives in the community and JA, and executive assistants.
EDUCATION/EXPERIENCE REQUIRED
2-3 years of administrative experience, excellent computer literacy (Microsoft Office), outstanding character and integrity, outstanding communication skills, attention to detail, and function effectively under pressure.
EDUCATION/EXPERIENCE (DESIRED)
Associate's or Bachelor’s Degree, work with databases or CRM databases, experience in non-profit settings.
