Our Administrative Assistant Spec supports multiple Directors, including the Bothell Site General Manager (GM) & Laser & Sensor Systems Program Director, and other senior Bothell leadership staff with calendar, travel, and overall administrative assistance. Additional support activities will include support to site meeting and event coordination, support to visiting customers and Lockheed Martin Executives. This position requires an organized, detail-oriented Administrative Assistant with professional demeanor, well-spoken and efficient applicant. Candidate should possess a high level of administrative assistant experience including strong calendar management, independent decision making, proactive responses to tasks and projects and excellent interpersonal skills including effective communication skills. Able to handle multiple tasks simultaneously in a dynamic and fast-moving team environment. Must possess ability to interact with all levels of management as well as external customers.

The Administrative Assistant Spec will be responsible for, but not limited to, the following:

  • Manage complicated calendars that include coordinating scheduling of appointments, meetings, presentations, events, and related logistics including deconflicting calendars for staff and visitors at multiple sites and time zones.
  • Coordinate with staff on input and preparing internal Program and Business Review documentation, attending these reviews and recording and tracking weekly action items for follow up.
  • Coordinate complex, high volume domestic and international travel arrangements (i.e., flight, hotel, car service, meetings, exchange rates and visas).
  • Accurate and timely compilation / processing of expense reports, reimbursements.
  • Assist in developing and editing up-to-the-minute quality professional presentations designed for high level external and internal customers. This requires both creativity of design and accurate and concise messaging.
  • Administration, coordination, and management of site records and government property.
  • Coordination of lab tours, itineraries and catering needs for visiting company dignitaries.
  • Other duties as assigned.
Basic Qualifications:
  • The successful candidate will exercise discretion and sound judgment, relieving the Directors and other leaders of details not requiring their involvement.

  • Candidate should be proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook and working knowledge of SharePoint, Zoom, Skype, Box and Slack.

  • Must be detail oriented and able to handle multiple tasks simultaneously in a dynamic and fast-moving team environment. Effective organizational and decision-making skills

  • Exceptional communication skills, verbal and written

  • Exceptional interpersonal skills and demonstrated ability to deal with executive level contacts both within and outside of the company

  • Attention to detail is key to success of this position

  • Ability to form and sustain effective working relationships amongst all levels of personnel

  • U.S Citizenship Required
Desired Skills:
  • Strong calendar management skills
  • Advanced experience with Microsoft Office Suite, with particular focus on Outlook, PowerPoint, SharePoint, Excel, Word
o Experience with SharePoint design and ability to manage permissions
  • Demonstrated flexibility and proficient in handling competing priorities and/or requests
  • Adapts to new environment with successful results
  • Working knowledge of Lockheed Martin policies and procedures and prior experience with other office applications such as Concur and SharePoint.

Ability to Work Remotely: Part-time Remote Telework: The employee selected for this position will work part of their work schedule remotely and part of their work schedule at a designated Lockheed Martin facility. The specific weekly schedule will be discussed during the hiring process.
Work Schedules: Lockheed Martin supports a variety of alternate work schedules that provide additional flexibility to our employees. Schedules range from standard 40 hours over a five day work week while others may be condensed. These condensed schedules provide employees with additional time away from the office and are in addition to our Paid Time off benefits.
Schedule for this Position: 4x10 hour day, 3 days off per week
