Major Responsibilities/Activities:

  • Maintain and update employee time and attendance records.
  • Maintain daily timekeeping and enters paid time off (PTO).
  • Maintain training records and calendars for departmental personnel.
  • Maintain and coordinate safety inspection checklists and reports.
  • Assists Safety Coordinator with inspections, photographs, and distribution of reports and findings.
  • Prepares, schedules and tracks all departmental evaluations.
  • Assists in the preparation of security reports and ban requests to include researching player data, previous incidents and relevant photos and statements.
  • Schedule appointments and meetings for Department Director.
  • Makes copies, prioritizes, distributes and prepares incoming and outgoing mail, including e-mail and faxes.
  • Schedule required meetings and trainings for department’s personnel.
  • Prepare all required personnel documentation, including status change reports, confidential disciplinary actions and other department related material
  • Respond to and create department correspondence, memos and staff meeting minutes.
  • Prepares departmental meeting minutes and/or briefing logs to distribute to leadership.
  • Maintains an awareness of business activities and events as they relate to the department and the entire property and prepare communications for passing information to staff.
  • Coordinates and leads special projects as assigned by department or casino.
  • Ensure accuracy for department inventory and orders in tracking system.
  • Maintains department leadership calendars, exercising judgement and tact in coordinating meeting and scheduling appointments. Participates and supports special projects set forth by the department and casino.
  • Greets scheduled visitors, routes visitors and escorts visitors to appropriate areas.
  • Answer calls, e-mail, and relay messages in a professional manner.
  • Update training records for all department personnel.
  • Organizes and maintains the department filing system, files correspondence, documents, and records.
  • Orders and maintains departmental supplies and makes arrangements for equipment maintenance.
  • Performs other duties as assigned.


Minimum Requirements:

  • Preference is given to qualified Santa Ana Tribal members.
  • High school diploma or GED required.
  • Must be organized, efficient and willing to take on additional responsibilities.
  • Self-motivated and able to work independently.
  • Must present self in a well-groomed, professional appearance.
  • Must have strong customer service skills.
  • Computer proficiency.
  • Bi-lingual and multi-cultural experience preferred.
  • A smartphone capable of running company applications and communication systems is required. If a smartphone is not provided by the company, a candidate or employee may be provided a smartphone of the company’s choice, through a payroll deduction program.
  • All employees are required to proficiently use a smartphone for company applications, email, and text.
  • Must be able to obtain and maintain a Pueblo of Santa Ana Gaming and Regulatory Commission key gaming license.
