- Tracks and maintains departmental financial accounts (i.e., cost centers, grants, etc.).
- Provides budget information and creates reports for the Chair, Dean and principal investigators (for example, GTA/GRA and research expenditure data).
- Enters annual Department budget in EPM. Processes APS payments. Performs grant and cost-center closeouts.
- Coordinates the billing and service contracts for the UTA Characterization Center of Materials & Biology multi-user (~150 users) lab facility.
- Reviews and approves financial transactions including purchase orders, vouchers, deposits, transfer of funds and pro card transactions.
- Performs reconcilement of pro cards.
- Confirms fund availability.
- Purchases supplies for research labs and requisitions equipment and services.
- Coordinates the administrative operations of the MSE Department, assisting the Department Chair with meetings and reports.
- Implements leadership’s policies.
- Serves as a liaison and acts on behalf of the Department Chair in dealings with internal and external clients.
- Serves as the point of contact for office.
- Composes complex correspondence, memoranda, department web page content and fliers to distribute both within and beyond the department.
- Sets up meetings, interviews, conferences and workshops; prepares agendas.
- Processes and maintains various personnel records (e.g., appointments, change of status, leave requests, terminations, etc.). Acts as department timekeeper.
- Prepares and coordinates materials for faculty, staff and work-study search and hire processes.
- Onboards new hires; offboards exiting staff.
- Compiles and prepares documents for new faculty, visiting researchers and international students (I-20, DS-2019, H-1B, LPR) and volunteer requests.
- Special projects as assigned such as administrative aspects of faculty annual review, staff evaluations, program reviews.
- Performs other duties as assigned.
- High school diploma or equivalent
- A minimum of four years of experience providing secretarial or administrative support in increasingly demanding positions.
- Bachelor’s degree or equivalent with four or more years’ experience in higher education. Experience with department budgets.
- Experience processing basic financial transactions.
- Experience with PeopleSoft. Experience with UTA policies and procedures.
- One year of supervisory experience.
