The Administrative Assistant II will provide administrative support to the Assignments unit, specifically the Assistant Director for Assignments. The position will also support up to four professional employees and five or more student office assistants for a 4,000 bed campus. Specifically, the incumbent will be responsible for assisting in the housing selection process, license appeals and housing applications/offers/wait list.
UMBC offers competitive compensation. This role starts at $39,232 and has 11 days of vacation as well as winter break, spring break, and personal days for regular full time roles. Tuition remission is also available.

Specific responsibilities include:
- Provide administrative support to Housing Operations with focus on on-campus housing assignments
- Handle a large volume of phone and email traffic, respond accurately to questions or requests from callers and transfer callers to appropriate staff members while providing excellent customer service
- Use sophisticated clerical skills to type, compose memos, answer RT tickets, write letters, complete forms, create data/reports/pivot tables in Excel and respond to inquiries
- Manage mass mailings (print and electronic) such as new student assignment mailing and other communication to resident student populations
- Review and track on campus housing applications, housing offers and wait lists and verify information to confirm student eligibility
- Maintain student data between University database systems and Residential Life
- Run reports in campus housing system database (Residence)
- Coordinate housing license appeal process for 200+ students annually
- Manage Open Bill process to intervene with students with open balances on the student account
- Oversee summer session housing including offers/assignments/billing and audit; assist with student billing and billing for summer session and early arrivals
- Partner with stakeholder offices: Admissions, Student Business Services, Athletics, English Language Institute, Learning Resources Center, Financial Aid, Registrar and Academic and Pre-Professional Advising
- Provide administrative back-up to Assignments Coordinator, Front Service Desk Administrative Assistant and other Departmental Administrative Assistants
- Provide supervision assistance and mentoring to student office assistants
- Other duties as assigned
- High School Diploma or GED
- Three years of experience providing administrative support
Note: Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
- Bachelor's Degree
- Experience in a higher education or residential setting
- Excellent customer/student service skills
- Working knowledge of computers and proficiency with Microsoft Word, databases, Excel, E-mail, Internet and PeopleSoft
- Excellent verbal and written communication skills
