Position Description
Position: Administrative Assistant
Department: Community Relations
Reports To: Community Relations Coordinator
Summary
- This is varied and responsible clerical and secretarial work.
A. Essential Duties and Responsibilities
1. Maintains confidentiality of all confidential materials.
2. Monitors budgets and balances accounts.
3. Implements purchase and ordering process including but not limited to ordering, PC’s, inventory, account balances, etc.
4. Monitors order fulfillment and verifies shipment.
5. Serves as receptionist for office: receives and places phone calls; records and delivers all messages; sends, receives, and delivers fax and e-mail messages, etc.
6. Opens/distributes incoming and outgoing mail; maintains a filing system.
7. Initiates, prepares, and sends routine correspondence and reports via inter-campus mail, US
Postal Service, Delivery Service, e-mail, etc.
8. Maintains general information and knowledge of school District operations.
9. Makes travel arrangements as directed by direct supervisor.
10. Makes arrangements for meetings involving room reservations, food, equipment, and coordination of participants, as required.
11. Coordinates the Hall of Fame Program; notifies committee of meetings; prepares packets of information on nominees; displays memorabilia for inductees; distributes programs at annual dinner; and works closely with Hall of Fame Committee.
12. Updates the Community Directory consisting of 2,300+ organizations.
13. Prepares/distributes the monthly “Press Digest”.
14. Copies and distributes the “Board Update”.
15. Performs routine and special copying projects within office and works closely with Duplicating
Office Personnel in the completion of same.
16. Fills orders for District-related efforts such as Vickery Prints, Alumni Directory, etc.
17. Maintains and updates LTHS Alumni Association database in excess of 55,000 entries.
18. Coordinates annual and lifetime Alumni Association membership payments and mailings.
19. Creates alumni notes for the Alumni Newsletter.
20. Rotates LT memorabilia displays twice each year.
21. Organizes and executes quarterly Alumni Association display cases.
22. Assists reunion chairpersons with class reunion activities.
23. Assists all alumni with miscellaneous requests, from purchasing yearbooks to reunion updates, to contacting fellow classmates.

D. Education and/or Experience
- High school graduate or equivalent plus 2 years of office experience.
E. Language Skills:
- Ability to read and interpret documents, ability to write routine reports and correspondence, and the ability to communicate effectively with administrators, staff, and visitors .

F.Mathematical Skills:
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals, commissions, proportions, and percentages.
G. Reasoning Abilities:
- Apply common sense understanding to carry out instructions given in written or oral form.
- Ability to deal with problems involving several concrete variables and standardized situations.
H. Other Skills and Abilities:
- Personal Computer and mainframe spreadsheet experience.
- Experience with Microsoft office tools, and ability and willingness to learn word processing, date base, desktop publishing, spread sheet, and presentations.
- Ability to perform duties with awareness of all District requirements and Board of Education policies.
- Familiar with Canva and other creative software.
- Familiar with Constant Contact and other communication software.

The employee must occasionally lift and/or move up to 15 pounds, such as duplicated reports and boxes of software. Specific vision abilities required by this job include close vision.
