PURPOSE OF POSITION:

Provide administrative support to the Early Intervention Program and/or Director of Early Intervention.

ESSENTIAL DUTIES AND RESPONSIBILITIES (include but are not limited to):
Behavior Standard – 50% of Position

 Maintains a positive work atmosphere by acting and communicating in a manner so that you get along
with customers, clients, co-workers, and management.

ESSENTIAL FUNCTIONS

 Receives new referrals from the Gwinnett, Newton, Rockdale Health Department Children’s First program,
maps and makes geographic assignments; assigns to service coordinators and enters into databases for
BCW program and Easter Seals North Georgia.
 Assists with file management of referred and enrolled children
 Responds to records requests
 Manages forms process to include ordering of testing materials, brochures, and flyers
 Serves as Receptionist for program and building
 Greets customers, contractors, and visitors
 Scan, fax, and/or copy of documents  Manages office supply inventory via electronic requisition process
 Provides customer service to service coordinators and other providers
 Logs receipt of documents received by contractors daily
 Handles daily mail and weekly courier
 Assists Director of Early Intervention with program needs

OTHER DUTIES:
Performs other duties as assigned.

Fundamental: Day to Day Duties

  • Uses sound judgment to respond appropriately to internal and external contact.
  • Data Entry
  • Serves as liaison between the Director of Intervention, general public and outside representatives.
  • Prepares routine correspondences.
  • Assist in set up for meetings and conferences.
  • Efficiently operates phone system, computer and fax (all office equipment).

Communications/Public Relations

  • Prepares center newsletter.
  • Proofreads and edits reports and other documentation to ensure accuracy and completeness.


Monitoring

  • Procures and maintains necessary supplies, equipment and /or service.

Record Keeping:

  • Records and prepares meeting minutes if requested
  • Maintains accurate organized and accessible files
  • Data Entry
  • Order Processing
  • Inventory
  • Date Stamp documents submitted
  • Maintains confidentiality

OTHER DUTIES:
Performs other duties as assigned.

Physical Requirements

 The ability to stand for sustained periods of time.
 The ability to sit for sustained periods of time.
 The ability to walk for sustained periods of time including performing cleaning tasks and facility
maintenance.
 The ability to use hands and fingers to stir, open containers, feel, operate a computer, and perform picking,
pinching and whole hand or arm handling tasks.

 The ability to climb stairs.
 The ability to stoop, kneel, crouch, or crawl as needed when working to perform facility maintenance.
 The ability to reach, extending arms in any direction.
 The ability to push or pull objects weighing up to 50 pounds.
 The ability to lift and carry containers and equipment as needed up to 50 pounds.
 The ability to talk in order to accurately exchange information.
 The ability to hear in order to accurately exchange information.
 The ability to see clearly in order to perform all duties, use a computer, and for reading and writing.
 The ability to work in indoor and outdoor conditions.

MINIMUM QUALIFICATIONS:

High School Diploma or equivalent and four (4) years of professional, administrative experience required or An Associates Degree or Bachelor’s degree in Business Administration or a related field from an accredited college or university and one (1) year of administrative experience;
