General Information
James Madison University, a Division I member of the NCAA and Sun Belt, is accepting applications for an Administrative Assistant to support multiple sports. This position is full time and includes benefits.
Duties and Responsibilities
- Assist Coaches in maintaining official schedule and game contracts.
- Facilitate timely and accurate processing of athletics travel for multiple coaches, teams and staff members. To include travel authorizations, travel arrangements, purchase of tickets with SPCC, travel reimbursements, accounting vouchers and all manner of supporting documentation, including JMU Foundation vouchers and documentation.
- Manage process of debit card assignment and reconciliation for multiple coaches and student-athletes for team travel.
- Handle all confidential and sensitive data according to University guidelines.
- Manage the process of maintaining the budget “spreadsheet” and matching payments in PeopleSoft to “spreadsheet” monthly as a part of the reconciliation process.
- Maintain all supporting documentation to support reconciliation process in accordance with University guidelines.
- Serve as a liaison for coaches by providing excellent customer service to all athletics clients in accordance with the rules of NCAA compliance.
- Manage office machines and serve as point of contact for office equipment and supplies for assigned sports programs.
- Utilize SPCC card for purchases of office supplies and other purchase for sports programs.
- Perform monthly SPCC reconciliation and maintain required documentation.
- Provide assistance to coaches as requested in development of correspondence.
Qualifications
Required:
- Understanding of administration, organization and budgets
- Knowledge of office procedures and protocol
- Significant experience with Windows, and Microsoft Office and state procurement system
- Demonstrated experience and proficiency in oral and written communication
- Significant customer service experience
- Significant organizational and prioritization skills
- The ability to work well in a diverse environment
- Demonstrated interpersonal skills such as friendliness, optimism, cooperativeness and sense of humor
- Ability to understand and maintain good data stewardship and confidentiality practices
- The ability to learn and operate within State and university guidelines
Preferred:
- General knowledge of Intercollegiate Athletics
- A general understanding of Athletics-related policies and procedures

The Annual Security and Fire Safety Report contains information regarding campus security and personal safety including topics such as: crime prevention, the university police law enforcement authority, crime reporting policies, disciplinary procedures, protocols for the immediate notification of students and staff upon confirmation of a significant emergency on campus and other matters of importance related to security and safety. The report includes statistics for the most recent three-year period of reported crimes that have occurred on campus; in certain off-campus buildings or property owned or controlled by JMU or its affiliates; and on public property within or immediately adjacent to and accessible from the campus.
The Annual Security and Fire Safety Report includes campus housing fire statistics for the most recent three-year period, a description of each on-campus student housing facility fire safety system, the number of fire drills held during the previous calendar year, policies or rules on portable electrical appliances, smoking, and open flames in student housing; and procedures for student housing evacuation in the event of fire along with other fire safety information.
