Job Summary

Join our team in the College of Media, Communication and Information (CMCI) at CU Boulder! The Administrative Assistant for the Communication Department builds and manages systems that enable success for faculty, graduate instructors and students.
This position's main responsibilities include purchasing, event support, space management and maintenance, administrative support, and assistance with mail distribution, course scheduling, faculty onboarding and graduate student orientation.

What Your Key Responsibilities Will Be

Department Process Support
  • Assists faculty in securing technology resources through faculty computer purchase programs, CMCI technology resources or Marketplace.
  • Assists faculty in securing space reservations across campus for research lunches and special sessions.
  • Keeps digital displays up to date and assists with website updates as needed.
  • Department Space Assignment and Maintenance
  • Assesses space needs annually and makes recommendations to the Office Manager for best allocation of resources. This includes managing annual move-in of graduate instructors, ongoing maintenance, resolving conflicts, assigning spaces and following safety guidelines.
  • Manages and prioritizes conflicting requests for various spaces and establishes efficient communication system for clients.
  • Liaises with facilities and maintenance departments to maintain optimal working/teaching environments and instructional space for an instructional staff of over 60 people.
  • Orders and keeps an inventory for basic office supplies and manages annual contracts for memberships, equipment, and software licenses.
Event and Exam Planning
  • Plans events for Communication Department, Communication Graduate Student Association, Communication Chair, and Communication Undergraduate Committee. Assists in event planning and supply purchasing for TedXCU, Josephine Jones Speaking Lab and the Center for Democratic Engagement as needed.
  • Secures room reservations and travel logistics as needed for Communication Department open house and orientation events.
  • Works with Office Manager to assure best fiscal practices and adherence to budgets.
  • Establishes relationships with vendors to obtain best prices and services.
  • Supports the scheduling/administering of comprehensive exams for Communication Department, Graduate Students, and faculty in administering Undergraduate make-up exams.
  • Assists as needed with CMCI graduation ceremony.
Additional Administrative Support
  • Assists Office Manager with course scheduling and student enrollment as needed.
  • Keeps office procedural manuals up-to-date and trains student workers in key procedures.
  • Creates systems for book orders, Buff one card and ACCESS processing.
Front Desk Reception/Customer Service
  • Creates a welcoming presence while also completing tasks that require attentiveness to details.
  • Meets due dates while also having the patience necessary for customer service.
  • Maintains composure while responding to demanding, and sometimes frustrated clients.
  • Provides accurate information and swiftly connects callers with appropriate resources when detailed responses are necessary.

What You Should Know

The work modality for this position is hybrid, with flexibility to be some days a week in person and some remote.

What We Can Offer

The annual salary range is $36,156.00 - $42,000.00.

What We Require

  • Two years of general clerical experience. College or university course work, appropriate to the work assignment, may substitute for the experience on a year-for-year basis.
  • Current Colorado state residency is required per State classified staff rules.

  • Experience preferably at a higher education institution.
  • Knowledge of, or ability to learn CU Student Integrated System (SIS).
  • Experience with CU enterprise systems including PeopleSoft, Concur, Marketplace.
  • Working knowledge of Federal, State and University fiscal rules and procedures with regard to state funds, gift funds, travel, property, purchasing, procurement.
