The Office of Curricular Affairs is looking for an Administrative Assistant to join our dynamic team as the primary administrative support to the department. The Administrative Assistant will perform varied advanced secretarial and administrative tasks unique to the scope of work covered by Curricular Affairs. The primary duties will include assisting the staff in their directives as well as general office support. The ideal candidate will possess excellent organizational skills, excellent written and verbal communication skills, be able to multitask in a fast-paced environment, and carry a professional demeanor. This candidate should be able to maintain sensitivity with confidential information and possess computer proficiency in Microsoft Word, Excel and Outlook.

- Responds to nonroutine inquiries from faculty, staff, students, alumni, public and outside agencies utilizing knowledge of relevant department and university policies and procedures. Candidate should be comfortable referring to university resources to find information relevant enough to refer constituents to for more assistance. Replies to complaints or requests for information should be well researched and informed. Prepares, edits, and creates agendas, minutes, contracts, proposals, and presentation materials for internal use as well as all committees supported by CA, i.e., UGC, U-CAAC, G-CAAC, Faculty Senate, ABOR, etc.
- Maintains Office of Curricular Affairs website and webpages using latest UArizona selected webpage creation software, maintains knowledge as needed in this software. Maintenance required could consist of fixing broken links, uploading revised forms for campus use, editing academic program workflow explanations/instructions, editing and updating dates and deadlines for course workflow instructions and general information.
- Creates record keeping processes structures and databases including Monday.com, Google Sheets as used by CA team, and any other databases we may create and maintain for tracking work. Maintains calendars in MS Outlook for all staff in CA as needed, regularly prioritizing meetings and appointments. Prepares background information required for meetings set for Director and Program Manager of unit.
- Analyzes and summarizes information presented for academic program proposals, UAccess and CourseDog course workflow processes and concerns from campus users, calculates data and prepares special and recurring reports as requested by State, Federal, and other higher ed data gathering entities. Maintains and reconciles budgets for departmental or work unit accounts. Follows up on discrepancies. Maintains office supplies.
- All other supportive tasks as requested and appropriate to the job by Director of unit.
Knowledge, Skills and Abilities:
- Ability to communicate effectively with different groups/individuals.
- Ability to handle confidential and sensitive information.
- Knowledge of the organizational and functional responsibilities and operations of an organization required to coordinate the work of the office with the work of other offices and for recognizing the need for such coordination in various circumstances.
- Knowledge of various office automation software programs, tools, and techniques to support office operations and produce a variety of documents such as letters, reports, spreadsheets, databases, and graphs.
- Skill in fact-finding, problem analysis, problem resolutions, and development of concrete action plans to solve problems.
- High school diploma or equivalent, or equivalent learning attained through experience is required.
- Experience with Academic Administration and the role it plays for the institution.
- Experience with Academic programs offered at UArizona.
- Experience with MS Outlook, Word, Excel, PowerPoint, Access.
- Bachelor's degree preferred.
