Administrative Assistant: Provides exceptional customer service to our volunteers, staff, fosters, and community partners; maintains excellent client relations; ensures all administrative functions are done in a professional and timely manner; and maintains a functional, organized, and aesthetically pleasing reception area. Current hours are Thursday, Friday, Saturday, and Monday 11 AM to 5 PM.
Administrative Assistant Specific Duties:
§ Perform assorted administrative tasks including scheduling appointments, maintaining the clinic calendar, answering phones, filing paperwork, responding to emails, and processing payment transactions.
§ Ensure clients have a positive and professional experience using exceptional customer service skills.
§ Ensure appropriate support and follow-up for Super Heroes fosters, potential and current adopters, and the community as a whole.
§ Assist with public spay-neuter paperwork and scheduling appointments.
§ Assist with walk-in and scheduled appointments.
§ Maintain shelter and clinic specific databases through prompt, accurate, and objective data entry.
§ Process payment transactions and keep detailed records of all transactions.
§ Work cooperatively with all staff and volunteers, providing excellent customer service both internally and externally.
§ Keeps reception area clean and organized.
§ Assist with animal feeding and care as needed.
§ Responsible for all other duties as assigned by the Shelter Manager and/or Directors.
Preferred Skills/Qualifications:
§ Database experience.
§ Minimum of 1 year in a customer service job.
§ Experience in a veterinary clinic, animal shelter, or healthcare office (preferred).
§ Demonstrated excellent communication skills (written and verbal).
§ Possess a positive attitude and ability to remain calm under pressure.
§ Ability to work compassionately with clients in various emotional states.
§ Good critical-thinking and problem-solving skills.
§ Able to multi-task while also being highly detail-oriented.
§ Flexible and able to handle frequent changes in work load demands.
§ Proficiency with Microsoft Excel, PowerPoint, and Word software.
§ Possess integrity, credibility, and a commitment to Super Heroes Humane Society’s mission.
