REPORTS TO: Director – Bartlesville Campus
POSITION SUMMARY: Responsible for general clerical duties for the Bartlesville campus.
PRIMARY DUTIES:
- Provide confidential administrative and clerical support, as well as assist others in the office as needed.
- Perform clerical duties to include, but not limited to maintaining a neat and orderly front desk and lobby area, drafting routing correspondence, developing and maintaining filing systems, scheduling meetings, updating bulletin boards and brochure racks, drafting agenda items, compiling data and preparing reports and processing of routine internal/external communications through mail, email, telephone, and in writing.
- Purchase supplies for the Bartlesville campus.
- Maintain budget records and monitor campus expenditures, including financial budget reporting, procurement of funds, process invoices for payment and complete account reconciliation, payroll, and supply accounts.
- Accept/record/reconcile tenant payments.
- Maintain inventory records of equipment/furniture, assist ACS in inventory records for technology equipment at the Bartlesville campus, distribute and maintain key logs/records, distribute hang tags, and assign parking spaces.
- Act as a liaison between adjuncts/faculty and the campus staff. Assisting with issues involving supplies, maintenance, schedules, and equipment functions. Including pre-semester communications, receiving faculty main from students, and distribution of safety materials.
- Assist in organizing and executing special events, including student activities and other functions as needed.
- Interact with community groups regarding advertising for community events which may involve facility and classroom use and community-related activities on RSU –Bartlesville property.
- Responsible for posting information on the bulletin boards, electronic information boards, and social media websites.
- Classroom assignments and classroom signage each semester.
- Must maintain general knowledge of RSU. Assistance in Enrollment Management.
MINIMUM QUALIFICATIONS
- High School Diploma or Associates Degree
- Experience with Microsoft Office Suite
PREFERRED QUALIFICATIONS
- Bachelor’s degree in accounting/business related field
- Experience in higher education is a plus
- Exceptional computer skills preferred
KNOWLEDGE AND SKILLS:
- Experience working in a fast-pace office environment and able to handle multiple projects.
- Knowledge of current clerical and administrative practices.
- Broad-based experience with personal computer, software application, office equipment.
- Must have excellent communication skills.
- Ability to maintain confidentiality.
- Interact effectively with people of all ages.
- Ability to independently initiate and complete comprehensive work assignments.
- Attention to detail is extremely important. Must be highly organized.
