As the Administrative Assistant, you will be responsible for managing the daily operations of the real estate office, including coordinating appointments, managing files, drafting correspondence, and maintaining client databases. You will also be responsible for managing the agent's calendar, preparing property listings, and processing payments.
The ideal candidate for this role will have excellent communication skills, the ability to work independently, and a strong attention to detail. Additionally, the candidate should have experience working in an administrative or personal assistant position, as well as proficiency in Microsoft Office Suite, Google Workplace Suite, and database management systems. We are looking for a very bright, ethical, and techie individual. This person must have vital customer service and problem-solving skills.
Responsibilities:
- Coordinate appointments and manage the agent's calendar
- Make travel arrangements
- Draft correspondence and manage client databases
- Filling and organizing documents
- Prepare and distribute property listings
- Prices Rent payments
- Manage client and vendor requests
- Coordinate open houses and other events
- Manage and maintain files and records
- Provide exceptional customer service to clients and visitors
Requirements:
- High school diploma or equivalent required;
- At least 2 years of experience in an administrative or assistant role
- Strong proficiency with Microsoft Office, Google Suite, and other office technology tools
- Excellent written and oral communication skills, with a high level of attention to detail
- Ability to work in a fast-moving work environment
- Exceptional organizational and time-management skills
- Ability to multitask and prioritize competing demands effectively
- Proven ability to work independently and as part of a team
- Able to consistently maintain a positive, can-do attitude and reflect a professional demeanor
- Innate ability to seek out answers from other sources and problem-solve with little input from Supervisor
This position is part-time, with an expected workload of 20-25 hours per week:
Monday-Thursday, 9 AM to 2 PM in the office.
