Job Description
The Tax Administrative Assistant provides administrative, processing and client support for Pivot CPAs Tax Department by performing the following essential functions:
Essential Functions and Responsibilities
· Assist in meeting all deadlines by performing project and office administrative tasks, which include file management, maintaining databases and deliverables, and scanning working papers.
· Primary responsibility is creating the individual and corporate tax return deliverables, estimates, extensions and individual organizers using CCH ProSystem software, Workstream, and Adobe Suite.
· Assembly of tax returns and tax-related documents
· Provide administrative support to tax partners, managers, and staff.
· Strong oral and written communication skills both internally and externally
· Assist in fostering an environment of exceptional customer service, collaboration, commitment, and team spirit.
· Adhere to the highest degree of professional standards and strict client confidentiality.
· Proven ability to work in a high-volume, fast-paced, deadline-driven environment.
· Detail oriented and organized.
· Ability to prioritize and manage multiple tasks simultaneously.
· Proactive with problem-solving skills
· Ability to work overtime, including evenings and weekends, during the tax department’s peak deadline periods.
· Serve as backup for office receptionist and other administrative staff when needed.
· Perform additional administrative tasks and special projects to support the tax department, as assigned.
Required Qualifications
· 2-5 years of administrative experience in a professional services setting required.
· Proficient in use of technology, and ability to readily adapt to firm utilized software.
· Excellent interpersonal and communication skills
· Superior organizational skills, strong attention to detail, excellent time management skills and commitment to multiple deadlines
· Must have a sense of urgency, self-motivated, and team oriented with a strong work ethic.
· Proficiency in Adobe Suite and Microsoft 365 applications (Word, Excel, Outlook)
· Ability to format documents and spreadsheets effectively and efficiently.
· Experience in a public accounting firm is preferred, but not required.
