The Administrative Assistant will participate as an integral team member and will be a key contributor to the organization from a support capacity.
Responsibilities May Include
Coordinating all office and administrative support duties including answering the telephone, directing calls to others as appropriate, making arrangements for visitors, processing expense reports, marking travel arrangements, sorting and distributing mail, record management, and other corporate administrative needs for multiple managers
Manage calendar and schedule for some of the team members
On/off boarding of employees, contractors, new hires, and interns includes securing equipment, setting up desks, and onboard orientation
Move coordinator and manage floor space for organization
Maintain distribution lists
Submit work orders and IT service tickets for floor related issues
Maintain and order supplies for printers, bridges, and supply areas
Seeking opportunities to improve work processes
Maintaining broad knowledge of processes, policies, and procedures
Coordinating and facilitating meetings
Completing other administrative duties as assigned by the team and supervisor
Assisting with special projects as needed
Providing back-up administrative support to other Managers, as needed
Required Qualifications
Legally authorized to work in the job posting country
High School Diploma or GED equivalent
3 or more years of experience in administrative support
Preferred Qualifications
Associates or Bachelor’s degree
5 or more years of experience in administrative support
Proficiency in Word, Excel, PowerPoint, Teams, and SAP
Ability to work with Senior or Executive Level management
Advanced written and oral communications
Ability to anticipate needs
Midstream
Phillips 66's Midstream business is a safe, reliable and trusted logistics provider for the movement and storage of liquid or gas energy via pipelines or terminals. We are an industry leader in logistics and operate or manage more than 22,000 miles of pipelines that transport crude oil from oil fields to refineries and finished products from refineries to storage terminals. We operate 39 terminals that supply finished products to consumer gas stations, as well as crude oil and NGL storage terminals and NGL fractionation facilities. We also provide the connectivity between the various Phillips 66 business units.
