Purpose of Position:
Serve as the administrative assistant to the Dean of Student Success. Provides a wide variety of administrative support duties for the Dean of Student Success as well as the academic advisors, admissions, and Financial Aid Office. Assigned duties include performing various administrative support services such as serving as a receptionist for the department office, establishing and maintaining a variety of department files including electronic and physical, sending out correspondences on behalf of the department, completing data entry, follows state policies for purchasing of supplies and department needs and maintains records of all purchase requisition submissions. Provides building support for functions such as reprographics copier management, point of contact for building maintenance. Supports special events and departmental functions as needed (i.e. division meetings, Welcome Day, graduation). Ensures confidentiality of all processes and communications while supporting the departmental office and related faculty and staff in an effective and efficient manner
Core Responsibilities
- Provides excellent administrative assistance to the Student Success Division by supporting the flow of the office and the department, providing assistance to the Dean, academic advisors, admissions, and financial aid. Maintains orderly and current filing systems for physical and digital documents. Communicates effectively in a variety of modalities as needed to support office functions.
- Provides clerical support functions for the Dean of Student Success.
- Maintain departmental budgets and physical inventory.
May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.
- Associate Degree in Administrative Support Services, or related, with three years of office experience.
- Ability to perform office tasks independently.
- Ability to interact professionally and effectively with the public, students, faculty, and staff while providing excellent customer service
- Demonstrates competency in computer software utilization including People Soft, word processing, database management spreadsheet applications and electronic mail.
- Ability to operate current office machines such as fax, printer/copier, computer, scanner, and telephone system.
- Ability to support department needs and functions as directed.
- Ability to process invoices, conduct purchasing following state guidelines.
- Knowledge of college processes.
- Ability to communicate and interact effectively, orally and in writing, with individuals of diverse backgrounds.
- Effectively demonstrate attention to detail, strong organizational skills, and the ability to meet deadlines.
- Ability manage multiple tasks simultaneously.
- Ability to process and maintain confidentiality of sensitive information.
- Ability to compose business correspondence utilizing proper grammar and punctuation.
- Working knowledge of basic bookkeeping/accounting principles and technical aspects of the subject area with emphasis on database and spreadsheets.
- Working skills to operate office equipment including automated equipment, as required to accomplish the work.
- Demonstrated ability to perform detailed work with numerical data and prescribed procedures; collect and organize material for reports by determining what is available and what should be included to present the information in a prescribed, organized format; and communicate with others effectively.
