Job description
Overview:
The Administrative Assistant will support engineering management, including Operations Engineering Manager, Account Engineering Group Managers and Operations Chief Engineers.
In this role, the assistant will provide administrative support using considerable judgement and initiative when managing meetings, coordinating travel, interviews, and office/team events. In addition, limited technical support such as extracting data, data tracking and reporting will also be required.
Responsibilities:
- Support with meeting or event planning and prep, scheduling, preparing presentations, note taking and action item tracking
- Manages travel planning and expense reporting as needed
- Create, maintain, and distribute engineering reports on weekly, bi-weekly, or monthly basis accordingly
- Maintain the supply inventory storeroom and order additional supplies and safety equipment when needed
- Work closely with other engineering staff to help meet operations and company objectives
- Maintains managers’ calendars daily; arranges, schedules, and confirms meetings, luncheons, external meetings, travel, provide meeting agendas and prepares minutes.
Qualifications:
- High School diploma or equivalent, some college preferred
- Proficient knowledge of Microsoft Excel, Word, Teams, PowerPoint, and other office productivity technologies, including creating presentations
- Ability to run and analyze raw data
- High level of customer service and ability to work independently
- Excellent written and verbal communication skills
- Good organizational skills
- Attention to detail and accuracy
- Problem solving related to job duties
- Ability to balance and handle multiple tasks and re-evaluate your workload daily to prioritize when necessary
- Ability to lead, track and take ownership of processes to keep various tasks running smoothly
- Good interpersonal skills in the face of constant change, and the ability to establish new and/or maintain existing systems are essential
The hiring range for this position is $43,200 to $62,100 USD. The final salary offer will vary based on geographic location, individual education, skills, and experience.
