Job description

We are a busy New York City based plumbing company seeking an administrative assistant to assist the office manager and the business partners to ensure smooth operations. This position offers training and an opportunity for growth. The ideal candidate is dependable, highly organized, has great computer skills, and is comfortable working in a fast-paced environment.

Responsibilities include but are not limited to:

  • Provide general support (answer phones, sort mail, order office supplies, etc.)
  • Maintain company calendar (scheduled inspections, site visits, training, etc.)
  • Support all aspects of projects (proposals, permits, inspections, sign-offs, COIs, etc.)
  • Update Manpower Report and monitor TSheets on a daily basis
  • Collect monthly employee expense reports and associated receipts
  • Assist in creating an inventory of invoices by vendor and by job to better control costs

Qualifications:

  • A minimum of three years of administrative experience
  • Excellent computer skills (Microsoft Excel, Microsoft Word, Adobe)
  • Strong written and verbal communication skills
  • Exceptional organizational skills with the ability to multi-task, prioritize work, and follow-up
  • Dependable, punctual, dedicated team player with a positive “can-do” work ethic
  • Fast learner who seeks constructive feedback for continual improvement
  • Notary a plus!

Job Type: Full-time

Pay: $31,200.00 - $47,840.00 per year
