Title: Administrative Assistant
Location: Santa Monica, CA
Duration: 3 Months
Job Summary:
We are seeking an experienced and highly organized Administrative Assistant to provide administrative support to our organization. The Administrative Assistant will be responsible for performing a variety of administrative tasks, including answering phones, scheduling appointments, coordinating meetings, and preparing reports. The successful candidate will have excellent communication and organizational skills, the ability to multitask, and a strong attention to detail.
Key Responsibilities:
- Answer phones, direct calls, and take messages as needed.
- Greet and assist visitors to the office.
- Schedule appointments and maintain calendars for multiple individuals.
- Coordinate meetings, including scheduling, preparing agendas, and taking minutes.
- Create and edit documents, reports, and correspondence using Microsoft Office software.
- Manage and maintain electronic and paper files and records.
- Process and distribute incoming and outgoing mail and packages.
- Order and maintain office supplies and equipment.
- Assist with travel arrangements and expense reports.
- Provide general administrative support to various departments as needed.
- Perform other duties as assigned.
Requirements:
- High school diploma or equivalent; associate's or bachelor's degree preferred.
- Minimum of 2 years of experience as an administrative assistant or in a related role.
- Excellent communication and interpersonal skills.
- Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Proficiency with Microsoft Office software, including Word, Excel, and PowerPoint.
- Experience with office equipment, including printers, copiers, and fax machines.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Ability to maintain confidentiality and discretion.
- Medical Front/Back Desk experience.
- Must have experience working with insurances & stated on the resume.
- Parking is at the expense of the candidate.
- Candidate will be required to buy & wear a blue button-down shirt.
Preferred Qualifications:
- Associate's or bachelor's degree in a related field.
- Experience in a healthcare or medical setting.
- Familiarity with electronic health records (EHRs) or other healthcare information systems.
- Experience with project management software.
DETAILS:
Must live within a 50 min commuting distance. Travelers: Anywhere in USA, must indicate on resume will relocate to the local area.
Physical Demands:

Working Conditions:
