- Independently plan, organize, coordinate, and perform work where numerous and diverse demands are involved.
- Responsible for scheduling and prioritizing calendars; planning and coordinating meetings or events, appointments, travel itineraries and facilities.
- Assess the needs of the FCETL, maintaining and purchasing office equipment and supplies.
- Create promotional brochures and other materials for campus outreach.
- Coordinate all center-led events, acting as point-of-contact for facilitators and organizing all facets of virtual and in-person presentations.
- Coordinate/plan with Facilities, Dining Services, Safety & Risk Management, Event Services, and others; create and maintain spreadsheets and directories to assist with office management and efficiency of processes.
- Maintain, upload, and analyze the FCETL's budget and coordinate the budget planning, tracking and management functions of various accounts, programming, and grants.
- Review all budget related documents for accuracy and make necessary corrections.
- Assist in the development and processing of internal and external funding proposals.
- Responsible for monthly budget review, problem solving, reconciliation, and financial reporting.
- Act as the liaison with the Budget Office.
- Create mini-grants/awards templates in InfoReady; create written processes for faculty mini-grant application submissions.
- Create and maintain a written process for reviewers of mini-grant/awards.
- Collaborate with the Office of Institutional Effectiveness and Analytics to collect relevant data and establish, develop, and maintain databases relating to the impact of the programming offered through the FCETL.
- Create, maintain, and analyze data analytics to evaluate programming effectiveness/access.
- Establish new operating procedures, fiscal accounting systems, and program evaluation processes in response to new programs and initiatives.
- Monitor and track attendance at all FCETL offerings.
- Monitor, coordinate, and track FDC building use (using 25Live, Events, Academic Units, etc.).
- Curate monthly, year-end, and ad hoc reports. Maintain internal directories, email listservs.
- Create content for and maintain the FCETL webpage as well as all social media outlets.
- Compose and/or proofread correspondence on the director's behalf.
- Oversee student assistants including recruiting, hiring, training, delegating tasks, building schedules, time card review, and providing input on performance evaluations.
- Other duties as assigned.
- Master's degree or post-baccalaureate units.
- Two years of experience in budget administrative functions, or database and management platforms, preferably at a CSU.
- Knowledge of learning center functions and personnel practices to formulate procedures, operations, and systems to create equitable and accessible services.
- Ability to initiate complex assignments and to research and recommend program implementation and/or changes.
- Experience making annual projections, analyzing the complications and implications of various factors.
- Experience with administrative survey techniques, assessment instruments, data collection and analysis, and the ability to interpret and evaluate results to develop sound conclusions.
- Experience with organizational structures, systems, and software (e.g., CSU financial system(s), CHRS/Page Up, PeopleSoft or PeopleAdmin) and the ability to understand, communicate, and explain the application of complex policies and procedures related to compliance, accounting, and administrative processes within these structures and systems; proficiency in the use of common office equipment and software packages.
- General knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods.
- Working knowledge of general practices, program, and/or administrative specialty.
- Basic knowledge of and ability to apply fundamental concepts.
- Working knowledge of budget policies and procedures.
- Ability to learn, interpret, and apply a wide variety of policies and procedures relating to and impacting the applicable program, organizational unit, and/or administrative specialty.
- Knowledge of basic methods and procedures for research and statistical analysis and the ability to apply them.
- Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques.
- Ability to organize and plan work and projects including handling multiple priorities.
- Ability to make independent decisions and exercise sound judgment.
- Ability to compile, write, and present reports related to program or administrative specialty.
- Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit.
- A background check (which may include: fingerprinting, checks of employment records, education records, criminal records, civil records, motor vehicle records, professional licenses, and sex offender registries, as position requires) must be completed satisfactorily before any candidate can begin employment with the CSU.
This position requires an individual capable of independently creating highly-visible results while performing administrative and technological duties at a high-level of responsibility within the context of a moderate to heavy workload. The position also requires efficient management of diverse university-wide responsibilities, multiple priorities, competing deadlines, and internal and external collaborations. The position requires exceptional customer service as the first point of contact for all FDC visitors/faculty and is handled by one person who is responsible for all office workflow.

Salary Range
Anticipated salary will be $3,518- $3,870 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. Full range Admin Analyst/Spec 1: $3,518 - $6,791 per month)
