What You Will Achieve
Your strong communication and collaboration skills will help the team to run its operations efficiently. You will focus primarily on administrative coordination to functional areas. You will also be responsible for managing records and files, verifying data, responding to mails and scheduling meetings, amongst other things.
As part of the administrative support team, you will participate in process improvement and collaborating with others by sharing experiences. Your skill and knowledge will help in making decisions that require choosing among limited options. You will be proactive in leveraging your team’ knowledge to learn and develop your own work products. Your systematic approach and organizational abilities will ensure that communication between departments and teams is seamless.

How You Will Achieve It

Organize and maintain files of supervisor(s) / team’s correspondence, records, etc., following up on pending matters.

Act as a receptionist for the supervisor(s), screening telephone calls, letters, and/or visitors, answers routine questions, and furnishes information, when possible, to save supervisor’s time.

Schedule appointments and coordinate arrangements for meetings and conferences. May coordinate large meetings and frequently make travel arrangements.

Route or answer routine correspondence not requiring supervisor’s attention.

Prepare regular reports that gather and summarize data and monitors departmental budget. Project based work to help support the business.

Produce a variety of correspondence, reports, and presentations using the appropriate software for word processing, graphics, and spreadsheets using MS Office Suite.

Place orders and submits purchase orders for assigned department members using company procurement system.

Prioritize, coordinate, and partner with teams to execute and accomplish business objectives productively.

Manage special projects and facilitate process improvements as needed.
Qualifications
Must-Have
-
High School Diploma with 6 years of administrative support experience (in Pharmaceutical industry preferred) OR
-
Associate degree in Administration with 4 years of administrative support experience (in Pharmaceutical industry preferred)

Demonstrated planning, prioritization, and organizing skills
-
Strong communication and interpersonal skills
-
Proficiency in Microsoft office, especially Word, Excel, and PowerPoint
-
Understanding of Company and department procedures and systems.
Nice-to-Have

Bachelor's Degree

Project management or planning experience

Prior pharmaceutical experience

Good English communication skills (verbal and written)
Physical / Mental requirements

Must be able to lift packages at least 25 lbs. in weight.
Non-Standard work schedule, travel or environment requirements

Required to be on premise 2 - 3 days per week or more frequently depending on site activities.

There is some overtime associated with this role.
