The Accounts Payable & Accounts Receivable Administrator Position has a Pay Scale consisting of the following elements and ranges. Wages include Base Hourly Compensation of between $19.00 and $21.00.

Position Purpose

The Accounts Payable & Accounts Receivable Administrator is responsible for handling the tasks associated with the payment of invoices as well as balances and reconciles schedules and prepares summaries and reports. Is also responsible for handling the tasks associated with receipting money and making journal entries, balances, reconciles schedules and prepares summaries and reports and follows up on aged items.

Essential Duties and Responsibilities

  • Processes and posts entries for vender invoices and direct payments.
  • Processes and posts factory invoices.
  • Processes and posts rental car invoices.
  • Reconciles vender accounts and prepares batch check runs.
  • Reconciles monthly factory statements.
  • Maintains a direct pay log and reconciles for monthly expenses when applicable.
  • Maintains and keeps current the vendor information files.
  • Prepares and mails Form 1099 to qualifying vendors before January 31st of each year.
  • Prepares and files reports to EDD (Form 542 within 20 days of setting up vendors with individual status) and IRS (Form 1099 before February 20th of each year).
  • Adhere to work schedule and arrive at work before your scheduled start time and be at your work station productively engaged by the scheduled time.
  • Complies with all safety rules and use all appropriate safety and personal protection equipment as required.
  • Adhere to established dress code policy at all times.
  • Safeguard customer and Dealer information per established policy.
  • Exemplifies organizational culture and holds others in department accountable for doing the same.
  • Accomplishes all current and future tasks as appropriately assigned or requested.

· Receipts all monies received from vehicle sales, parts and service.

· Prepares bank deposits including charge cards, on a daily basis for Finance, Parts, and Service.

· Enters finalized cash receipts and updates accounts receivable ledger by customer.

· Prepares weekly Parts and Service accounts receivable and exceptions reports for management with notes/updates.

· Files all cash receipt records, check stubs, and bank receipts and updates account receivable ledger by customer.

· Prepares cash deposits and fills out the cash control sheet daily.

· Caps each receivable account on a daily basis

· Reconciles statements and follows up on aged items and collections as necessary.

· Prepares accounts receivable statements monthly.

· Prepares refunds on overpayments for Parts and Service Customer

· Researches and processes charge backs, returns, and bad checks.

· Performs credit checks on credit applications. Gives approvals for current charges.

· Prepares collection letters; service cancellation letters and handles customer phone call inquiries and conducts appropriate follow up.

· Reconciles monthly receivables accounts and prepares appropriate reports as directed.

· Maintains and keeps current the customer information files.

· Adhere to work schedule and arrive at work before scheduled start time and be at your work station productively engaged by the scheduled time.

· Complies with all safety rules and use all appropriate safety and personal protective equipment as required.

· Other related Receivables duties such as special projects as may be directed.

Job Type: Full-time

Pay: $19.00 - $21.00 per hour
