Residential & Dining Enterprises (R&DE), the largest auxiliary organization at Stanford University, supports the academic mission of the University by providing high-quality services to students and other members of the university community. The department has an annual operating budget of over $350M, operates 24/7/365, and oversees a $3B asset portfolio comprising a 7 million sq. ft. physical plant across the campus. In autumn quarter of the 2021-22 academic year, R&DE will return to providing housing for over 13,000 students and dependents, serving meals at 17 dining halls, 12 retail locations, and operating athletic concessions and conference operations. Additionally, R&DE comprises 900 FTE staff in the following divisions: Student Housing Operations, Stanford Dining, Stanford Hospitality & Auxiliaries, Stanford Conferences, Maintenance Operations and Capital Projects, and a team of R&DE strategic business partners: Finance & Administration, Information Technology, Human Resources, and Strategic Communications.

R&DE ACCOUNTS PAYABLE (AP):
The Financial Analyst 1 reports to the General Accounting Manager.
JOB PURPOSE:
The Financial Analyst 1 provides AP support for Stanford Dining and Stanford Hospitality and Auxiliaries, Stanford Row Houses and Co-Ops, and/or Student Housing Operations. The Dining and Hospitality business units procure food, beverages, paper products, and smallwares from small and large food businesses and distributors. The Student Housing Operations business unit procures product such as cleaning supplies, bedding, maintenance parts, etc., to manage housing needs in our dorms and other facilities. Key work includes invoice processing for a set of assigned suppliers (approximately 10K invoices/annually), assisting with managing month-end/quarter-end close processes, managing payment pathways, participating in implementations, and development and training of new staff. The Financial Analyst 1 is expected to handle moderately complex accounting (accruals, ijournals, compliance, investigatory work), supplier account reviews/audits, aging/spend analytics, reporting, and expenditure reconciliations. The Financial Analyst 1 will also be active in developing new reports for R&DE in Oracle Business Intelligence (OBI) to support the accounting needs of Finance and Administration.
CORE DUTIES:
- Process approximately 10K/year non-project AP transactions for Stanford Dining and Stanford Hospitality and Auxiliaries, Stanford Row Houses and Co-Ops, and/or Student Housing Operations; prioritize invoices according to cash discount potential and payment terms. Manage the AP accrual data at month end close.
- Perform structured analysis; conduct data mining; identify, clarify, and investigate discrepancies and exceptions; proactively develop solutions and processes.
- Maintain, reconcile, review, combine, and validate financial data sets and accounts, utilizing financial reports, financial databases, and key financial information.
- Prepare and submit journals for central administrative transactions or requisite reclasses. Review, gather, and compile accounting transactions and documents for completeness, accuracy, and compliance.
- Resolve issues within immediate work unit; Perform preliminary analysis, recognize exceptions, and recommend solutions that may require policy changes or the development of new processes.
- Run and analyze financial reports, often from multiple systems; assist in preparation of management information reports.
- Reconcile supplier statements, research, and correct discrepancies; respond to all supplier inquiries; generate reports for analyzing discrepancies to ensure accuracy of AP accounts.
- Ensure works complies with complex internal policies and external regulations which may require interpretation.
- Participate as a member of a project team and contribute to change management strategy through communication and collaboration with others.
- Understand and participate in cross training on core functions in work area or unit; serve as a back-up to other functions.
- May supervise the day-to-day activities and provide on the job coaching and training to other staff, as needed. Serve as a liaison to other departments to resolve accounting-related issues.

MINIMUM REQUIREMENTS:
Education & Experience:
Bachelor’s degree and two years of relevant experience or combination of education and relevant work experience.
Knowledge, Skills and Abilities:
- Proficiency in basic business applications, such as Microsoft Office; user knowledge of Excel.
- Knowledge of accounting systems and the internet; computer literacy. Oracle experience desirable
- Knowledge of AP/general accounting, close processes, and electronic payment processing.
- Understanding of and ability to apply accounting skills and concepts
- Excellent planning and organizational skills.
- Excellent oral and written communication skills; ability to draft professional e-mails, memos, business letters, and reports, and to communicate information clearly and effectively to internal audiences and client groups.
- Ability to learn project management skills and to participate as part of a project team.
- Ability to interpret contracts and other supporting information on purchases.
- Ability to independently resolve moderately complex AP account issues.

The expected pay range for this position is $90,000 to $95,000 per annum.
