ABOUT THE POSITION:

This position provides administrative oversight for the departments of nursing and health sciences for all matters associates with part-time contracted faculty and simulation competency evaluator, purchasing, affiliation agreements, agency scheduling, and faculty and student compliance with regulatory requirements.


Essential Functions/Duties:

Contract, Grant, and Affiliation Agreements

  • Ensures that all health services programs are engaging with clinical partners have current, signed agreements. Proactively assures that agreements are updated according to policy.
  • Maintains a current database of all clinical agencies in use by health education departments.
  • Maintains a list of all part-time faculty and simulation competency evaluators and processes payroll reports monthly.
  • Completes RPA (personnel actions) forms and other Human Resources required documents for contracted part-time faculty and evaluators.
  • Procures capital and operational items for nursing department.
  • Supports funded grant management by procuring, monitoring, and developing reports for itemized expenses.

Data Support

  • Provides department-specific administrative support in completing surveys, accreditation reports, and other aspects of program planning and management.
  • Profiles and manages data entry for student, academic, and institutional effectiveness needs.
  • Determines methods to automate manual functions and support faculty workload.
  • Serves on task forces and teams as a representative of health services programs, as assigned.

This position is a level P12. To determine starting salary, Polk State College takes into consideration the pay level minimum, the candidate's qualifications and internal equity factors.


Required Skills
  • Data Conception: Requires the ability to compare and/or judge the readily observable, functional, structural or compositional characteristics (whether similar to or divergent from obvious standards) of documentation, files, accounts, and equipment.
  • Accuracy and Attention to Detail: High proficiency in data management, reporting, and documentation with special focus on details.
  • Office Management: Advanced experience using Microsoft Office 360, Google, Project Management, Teams/Zoom, and other software.
  • Interpersonal Communication: Ability to work well with others and communicate professionally with internal and external partners. Excellent verbal and written communication skills including writing and editing business documents. Ability to issue and receive assignments, instructions, and/or directions.
  • Language Ability: Requires ability to read Standard English, as well as basic technical data, policy and procedure manuals, codes, etc. Requires the ability to prepare forms and reports using prescribed formats. Requires the ability to communicate with a broad array of individuals from various professional backgrounds.
  • Critical Thinking Skills: Requires the ability to apply principles of logical thinking to define problems, collect data, establish facts and draw valid conclusions; to interpret a variety of instructions or inquiries furnished in written and/or oral form; to acquire knowledge of topics related to occupation.
  • Verbal Aptitude: Requires the ability to record and deliver information, to explain procedures, and to follow oral/written instructions. Must be able to communicate effectively with co-workers, the public, and students.
  • Numerical Aptitude: Must be able to add, subtract, multiply and divide; calculate decimals and percentages.
  • Confidentiality: Must be able to maintain confidential information.

Required Education:

A Bachelor’s Degree from an accredited university or college required.

Alternate credentials: An Associate's Degree with a minimum of 3 years' experience in database management, program support services, and/or contract management.

Alternate credentials: A high school diploma with a minimum of 5 years' experience in database management, program support services, and/or contract management.


Required Experience


Two years' experience in database management, program support services, and/or contract management.


Preferred Experience:

Experience in a higher education setting in academic services.
